Research Data Request System

We provide aggregated counts, de-identified, limited, and identified data from the Outback data lake through our Honest Broker services. Learn more about our Healthcare Research Database (HABITAT).

What data can you request?
No IRB Required

Aggregated Counts

Summary-level patient counts for feasibility and exploratory research. No IRB approval required — the fastest path to preliminary data.

Non-HSR Determination

De-identified Data

Requires a Non-HSR determination approval email from IRB. Submit a request at eCOmpliance and select “human-subjects-research-determination”.

Full IRB Required

Limited / Identified Data

Requires full IRB approval with HIPAA waiver and population selection criteria. Researchers from MU and UMKC must go through MU IRB for limited or identified data.

What you’ll need

Data Domains

Identify the data domains you need for your research and the specific entities relevant to your study. Data domains refer to the categories of clinical data available in the HABITAT system.

Examples: Demographics (age, sex, race) · Diagnoses (ICD codes) · Medications (prescriptions, dosages) · Lab Results (vitals, lab values) · Procedures (CPT codes) · Encounters (visits, admissions) · Social Determinants of Health (SDOH, RUCA)

IRB Approval

Obtain the appropriate IRB approval based on your data type — none for aggregated counts, Non-HSR determination for de-identified, or full IRB approval with HIPAA waiver for limited/identified data.

PI Approval

PI approval will be obtained if the requestor is not the Principal Investigator on the study.

Inclusion & Exclusion Criteria

Clearly define your inclusion and exclusion criteria for the patient population you are requesting.

Inclusion criteria — characteristics a patient MUST have. Example: Adults aged 18+, diagnosed with Type 2 Diabetes (ICD-10: E11), with at least one encounter at MU Health Care between 2018–2023.

Exclusion criteria — characteristics that disqualify a patient. Example: Patients under 18, patients with missing demographic data, or patients with a concurrent diagnosis of Type 1 Diabetes (ICD-10: E10).

Service Costs

Anything in our data dictionary with a service scope within 2 hours of Honest Broker time is free of charge. Requests above 2 hours or for entities not in the data dictionary are charged on an hourly basis. Check our fees →

Timeline

Usual turnaround time is 2–3 weeks, depending on how quickly we receive all required data elements and current research workload. Requests with additional data elements from source systems will take longer.

Disclaimer

PHIs requested must match the HIPAA waiver. Also check the ‘Other Unique Identifiers’ field in the HIPAA waiver if requesting Visit Numbers / FINs.
